No Show and Late Arrival Policy
At MFM Health, we are committed to providing timely, high-quality care to all patients. In order to respect the time of our providers and other patients, we ask that you arrive on time and notify us as soon as possible if you cannot make your appointment.
Appointment Arrival Time
Please arrive at least 10 minutes early to allow time for check-in.
If you are running late, please call the office as soon as possible so we can determine whether your appointment can still be accommodated.
Late Arrivals
If you arrive more than 15 minutes late for your scheduled appointment, we will do our best to see you, but:
You may have to wait until there is an opening
You may need to be rescheduled
You may need to be seen by a different provider
Please note: Arriving more than 15 minutes late will be considered a No-Show, even if we are able to accommodate your visit.
Cancellations
If you are unable to attend your appointment, we require at least 4 hours notice so we may offer the appointment slot to another patient.
Appointments canceled within 4 hours of the scheduled appointment time may be considered a No-Show.
What Counts as a "No-Show"?
You may be marked as a No-Show if any of the following occur:
You do not arrive for your appointment and do not notify our office
You arrive more than 15 minutes after your scheduled appointment time
You cancel your appointment within 4 hours of the appointment time
No-Show Policy Fee
Repeated no-shows prevent other patients from receiving care and reduce available appointment access. No-shows are tracked and may result in fees and scheduling restrictions.
No-Show Levels
LEVEL 1: First No-Show (Established Patients)
Patient will be notified of the No-Show Policy.
LEVEL 2: Second No-Show (Established Patients) OR First No-Show (New Patients)
A $50 No-Show Fee may be charged.
Balance must be paid prior to scheduling future appointments.
A written letter will be sent to the patient.
LEVEL 3: Third No-Show
A $100 No-Show Fee may be charged.
Balance must be paid prior to scheduling future appointments.
A written warning letter will be sent.
LEVEL 4: Fourth No-Show
The patient may be reviewed for dismissal from the practice.
Reset of No-Show History
A patient’s No-Show count will reset to zero if three (3) years have passed since the last No-Show.
Important Insurance Notice (MassHealth / Medicaid)
MFM Health cannot charge a no-show fee to patients covered by MassHealth or Medicaid Managed Care Organizations (MCOs), as these plans do not allow member billing for missed appointment fees.
However, missed appointments will still be tracked, and repeated no-shows may still result in scheduling restrictions or dismissal review.
