Medication Refill Policy

Thank you for reviewing our refill policy. These guidelines are designed to ensure your safety and provide the highest quality care. If you have any questions or concerns, please don’t hesitate to discuss them with your provider.

How to Request a Refill

  • ​Secure Refills: Please use the secure refill option in our Patient Portal. You may also submit a refill request over-the-phone by calling the office and selecting the refill option off the main menu to leave a message with your request. ​Refill requests must include:

    • The name and dosage of the medication

    • Frequency taken

    • The name of your prescribing provider

    • Your preferred pharmacy

    • Any other special instructions that will help us complete your request. 

  • Notice Required: Allow at least 48 hours for all refill requests.

  • Plan Ahead: Submit your refill requests 72-96 hours in advance to ensure seamless access to your medication.

  • Follow-up: If your request is not processed within 48 hours, check with your pharmacy first. If needed, contact our office for further assistance.

Review Our General Medication Refill Policies

These policies are designed with your safety and health in mind.

Controlled Substance Refills

Medications such as stimulants for ADHD, benzodiazepines for anxiety, pain medications, and prescription sleep aids require a visit every three months.

 

Additionally, an up-to-date Controlled Substance Agreement must be on file. These measures ensure your safety and compliance with best practices.

Refills for Longstanding Medications

For other chronic medications, such as those prescribed for Diabetes, High Blood Pressure, Anxiety, or Depression, the following requirements apply:

  • Annual Physical: A current annual physical is mandatory.

  • Interim Visits: Depending on your condition, visits may also be required every 3 to 6 months, as determined by your provider.

Refilling Medications After a Gap

If you have not filled a medication for over one year and have not had a recent annual physical:

  1. Schedule an Annual Physical: Use our online booking system (recommended) or contact the office directly.

  2. Need a Refill Before the Visit? After scheduling your physical, send a message to your provider through the patient portal for consideration of a refill before your appointment.

Department-Specific Medication Refill Policies

These policies are designed to provide you with the safest and most effective care.

Behavioral Health

  • Refills require a current annual physical.

  • Follow-up visits for refills between annual physicals will be determined by your provider based on your specific needs.

Dermatology

  • Refills for prescriptions older than one year require a current annual dermatology exam.

  • A 30-day prescription can be issued if you have a dermatology visit scheduled within 30 days of your request.

Endocrinology

  • Testosterone Refills: Require a visit and updated lab work every 6 months.

  • Insulin Pump Supplies: Require a visit every 6 months.

  • Weight Loss Medications: Require visits every 3 months.  Refills are not given between follow-up visits unless previously arranged. Ensure your pharmacy faxes a refill request at least 3 to 5 business days before your medication runs out.

Important Information

  • Refills During Annual Exams: For your convenience, all prescriptions will be sent to the pharmacy at the time of your physical exam, with enough refills until your next appointment or within state and pharmacy regulations. Remember to schedule your next appointment before you leave the office.

    • In some cases, you may qualify for an extended 90-day prescription supply plus 1 refill if you schedule a follow-up appointment or physical exam in 6 months.  Talk to your provider to see if your medication and care plan qualifies for an extended supply.

  • Follow-Up Visits: Your provider may recommend follow-up visits at intervals shorter than those outlined in our general or department-specific policies, based on your individual care needs.
